Sharing
Apps are shared with groups of people. Each share gives the group an access level and, for users, the app's roles. Manage it on the app's Sharing page.
#Groups
A group is a list of people by email: Office team, Technicians, Family. Groups are yours (find them under Groups in the account menu) and you can share any number of apps with the same group. When you change who is in a group, every app shared with it follows at once.
- Create a group from the Sharing page by pasting a list of emails, or under Groups.
- People who haven't signed in yet get access when they first sign in with that email. New members get an email telling them about the apps they now have.
- Deleting a group takes away the access it gave, in every app.
#Access levels
| Level | Can |
|---|---|
| Owner | everything: build, share, publish, change the billing owner, archive |
| Editor | build and manage the app: data, views, automations, security, publishing |
| User | use the app; its security rules and their roles decide what they see and change |
Owners and editors are never limited by security rules. On the Free plan, someone reached as an editor or owner through a group works as a user (building other people's apps needs the Builder plan; see Plans).
#Share with a group
On Sharing, add one of your groups (or create one), choose its access level and, for users, the roles its people get in this app. Everyone in the group gets that access right away, and so does anyone added to the group later. Change a group's access and roles, or take its access away, at any time.
Everyone with access lists the people reached through the groups, including those who haven't signed in yet.
#Owners and the billing owner
Owners are added directly by email under Owners and direct access; the person needs to have signed in to appTown once with that email. One owner is the billing owner: their plan decides the app's limits, they pay for AI used while building, and their Stripe account takes the app's payments. Move the billing role to another owner in the app's Settings.
#Leave or archive
- Leave app (Settings): you lose access until someone shares it with you again. An app always keeps at least one owner, and the billing owner must hand that role to another owner first. If your access comes from a group, ask the group's owner to remove you.
- Archive app (Settings): hides the app from everyone. Nothing is deleted; support can restore it.
